Head of Finance, Admin & IT (Gurgaon)

Position Summary:

The Head of Finance, Admin & IT, you will lead all aspects of the company’s tax functions, admin & IT in India — including Financial planning & operation, legal compliance, tax planning, transfer pricing, managing complex tax appeals and assessments, and administrative management & operation A key part of this role is to organize and formulate strategy to work with Corporate Management and tax consultants to handle tax inquiry, appeals, and litigation, and ensure that all tax positions are defensible, compliant, and strategically aligned with business objectives.

This is a senior position requiring strong technical expertise, sound judgment, and the ability to work independently with external advisors and internal leadership.

 

Key Responsibilities:

Financial Planning & Reporting

  • Prepare annual budgets (shipments, expenses, headcount).
  • Review monthly reports: shipment forecast, expense forecast, cash flow, and daily cash
  • Ensure accuracy of trial balance, fixed assets schedules, and bank reconciliations. Working knowledge of Indian GAAP’s & IFRS.
  • Supervise salary disbursements and statutory tax compliance.

Financial Operations

  • Approve journal entries and payment vouchers.
  • Working capital and Cash flow management.
  • Capex & Opex Monitoring.
  • Monitor recoverable expenses and collections.
  • Liaise with banks and internal departments for billing and payment issues.
  • Oversee vendor financial due diligence.

Tax Compliance & Management

  • Oversee all direct and indirect tax filings (corporate income tax, GST, Transfer pricing, etc.) and ensure compliance with statutory requirements.
  • Review & Supervise tax, GST computations, returns, and reconciliations prepared by internal or external teams.
  • Develop and maintain internal controls to ensure tax accuracy and timely filings.

Tax Assessment & Appeals

  • Oversee and manage communications with tax authorities in connection with audits, assessments, and compliance reviews.
  • Ensure timely and accurate preparation of documentation and responses to tax queries or notices, maintaining the company’s compliance and risk management standards.
  • Work closely with external legal counsel and tax advisors to develop appropriate strategies should any tax appeal or litigation arise.
  • Provide technical input and coordination support for potential tax proceedings, ensuring the company’s positions are well-substantiated and aligned with applicable law.
  • Maintain up-to-date knowledge of tax jurisprudence and administrative practices to proactively manage exposure and safeguard the company’s interests.

Transfer Pricing

  • Oversee transfer pricing documentation and ensure compliance with Indian local tax authority.
  • Experience in dealing with Advance Pricing arrangement with Government of India.
  • Work closely with Corporate Finance teams to ensure consistency in intercompany pricing policies.
  • Handle transfer pricing audits and appeals, coordinating with legal advisors as required.

Tax Planning & Advisory

  • Advise management on the tax implications of business decisions, new investments, or restructuring initiatives.
  • Identify opportunities for tax optimization within the bounds of compliance.
  • Monitor legislative and regulatory changes and assess their impact on the company’s operations.

Collaboration & Leadership

  • Partner with legal and finance teams to align tax positions with broader corporate objectives.
  • Provide strategic tax advice to senior leadership as required.
  • Manage relationships with external auditors, consultants, and tax advisors.
  • Develop internal guidelines, policies, and training for the finance team on tax compliance and documentation.

Administration & IT

  • Lead the Admin & IT team to ensure efficient support.
  • Manage budgets, operating costs, and suggest cost-saving measures.
  • Oversee office renovations, furniture, and equipment procurement.
  • Lease with Landlords for office space rental & renewal and prepare lease agreement
  • Liaise with building management for office-related matters.
  • Negotiate Hotel & Travel contract, vendor evaluations and finalisation of the contract
  • Review IT purchase requests and standardize products.
  • Negotiate IT contracts and vendor evaluations.
  • Ensure maintenance of hardware, software, and IT infrastructure.

Qualifications & Experience:

  • Chartered Accountant (CA) or equivalent professional qualification (mandatory).
  • Minimum 14+ years of hands-on experience in Indian taxation, including direct tax, GST, and transfer pricing.
  • Proven expertise in handling tax assessments, audits, appeals, and litigation before Indian tax authorities.
  • Experience in working with external legal and tax counsel on dispute resolution.
  • Strong understanding of Indian Income Tax Act, GST Laws, and Double Taxation Avoidance Agreements (DTAAs).
  • Excellent analytical, communication, and negotiation skills.
  • Prior experience in a multinational or large privately held corporate environment preferred.
